Client story: asset lifecycle workflow across SAP ECC and SAP S/4HANA with Automate Evolve
Asset lifecycle workflow client story: key results

A global telecommunications company headquartered in Finland handled its asset lifecycle requests in a fragmented, manual way, with limited visibility of where each request stood. With Automate Evolve, nine asset scenarios now run in one workflow across SAP ECC and SAP S/4HANA, for more than 100 users.

The challengeFragmented requests, limited visibility

Asset lifecycle processes at this client were fragmented and manual. Requests were handled inconsistently, and it was hard to see where a request stood.

The team struggled with tracking request status, keeping the process under control and maintaining governance. The result was delays, errors and lower operational efficiency.

Project facts

  • Client: global telecommunications company, headquartered in Finland
  • Process: asset lifecycle requests, from creation to write-up
  • Systems: two SAP ECC systems and one SAP S/4HANA system
  • Product: Automate Evolve
  • Users: 100+
  • Time to value: 6 weeks

The solutionNine asset scenarios in one workflow

We built a centralised, automated asset management solution on Automate Evolve. It standardises asset lifecycle processes across both SAP ECC and SAP S/4HANA, so handling stays consistent while the systems coexist or during a transformation.

The workflow covers nine scenarios end to end: create asset, create sub-asset, change asset, scrapping, sale, transfer, intercompany transfer, impairment and write-up.

Key functionalities

Automation engine

262 rules drive the business logic and validations. Manual effort is lower, accuracy is higher, and all nine scenarios are processed in the same way.

Process management

Task delegation, task re-assignment and automated escalation handling. Approvals follow a complex, global approval matrix based on Active Directory.

Reporting and dashboard

Real-time operational visibility: status of each request, processing time analytics, pending task monitoring and a central dashboard for decision-makers.

Business valueWhat changed in asset management

  • More efficient process. Cycle times are shorter.
  • More transparency and control. The status of every request can be tracked.
  • Lower operational risk. Fewer errors thanks to built-in validations.
  • Standardised asset processes. All nine scenarios follow the same rules in both SAP environments.
  • Better user experience. Users are more productive.
