A global telecommunications company headquartered in Finland had significant audit findings on its manual journal entry process: 15% of entries were handled outside the workflow, without strict control. With Automate Evolve, all journal types now run through an audit-compliant workflow with built-in quality checks and auto-posting to SAP, for more than 2,000 users.

The challengeAudit findings, and 40,000+ journal entries a month
The manual journal entry (MJE) process had significant audit findings, with major financial risks.
- 15% of manual journal entries were handled outside the workflow, without strict control.
- Different steps had to be followed within the month, during month-end closing and during the reporting period.
- The previous workflow solution did not support the process in the critical periods, month-end closing and reporting.
- The quality of journal entry requests was poor. It often turned out only after the approval steps that an entry could not be posted.
- 80% of the 40,000+ monthly journal entries were submitted within one week, which put a high workload on the accounting team.

The solutionEight workflows for every journal type
We delivered two generic and six specialised workflow solutions on Automate Evolve. Together they cover all journal types and process scenarios, with advanced quality assurance features that support a fully audit-compliant manual journal entry process.
From a financial closing point of view, the workflow covers all four periods of the month: the normal period within the month, the month-end closing period, the reporting period and the reopening period.
The solution works across three SAP systems, two SAP ECC and one SAP S/4HANA, so the process stays consistent while the systems coexist or during a transformation.

Key functionalities
All-in process coverage
The correct process and approvers are determined from five dimensions: journal type, value, business line, closing calendar and location. In total, 144 process scenarios are covered. Depending on the scenario, additional approval steps apply.
Quality assurance and auto-posting
Mandatory, optional and suppressed fields are validated on the spot, based on SAP Field Status Group information. More than 300 business rules control data quality. After a final validation against SAP rules, entries are posted automatically in the right SAP system.
Reporting and dashboard
Real-time operational visibility: status of each request, processing time analytics, pending task monitoring and a central dashboard for decision-makers.
Business valueWhat changed in the journal entry process
- 30% less effort at month-end closing. Processing journal entries takes less work, and cycle times are shorter.
- Standardised, audit-compliant process. All journal types and scenarios run in the workflow.
- More transparency and control. The status of every request can be tracked.
- Lower operational risk. Fewer errors, because requests are validated before approval.
- Better user experience. Users are more productive.
